Organisation setup

Manage site contacts and access notes

Distinguish own and customer sites and keep operational contact information private by default.

Organisation setup For Owner, Administrator, Quality manager, Calibration manager, Calibration engineer About 1 minute to read

Before this guide: Create sites and location hierarchies

Sites are labelled Own site when owned by your organisation, or Customer site when linked to a client. The existing ownership relationship supplies the label; it does not determine who performs calibration or confer technical scope.

An authorised site manager can add a contact name, email, phone and useful access notes. Site readers can view this operational context. Keep notes concise and avoid passwords, door codes or sensitive personal details.

Contact details are excluded from calibration outputs by default. Select Include the selected site's contact details on the output only when disclosure is appropriate for that work. The saved output snapshot retains the selected contact details instead of looking up a later live contact. Access notes are always excluded from outputs.

Work-site choice lists contain names and ownership labels without disclosing private contact or access data. Another organisation's site or contact cannot be linked. Existing issued outputs retain their history.
